Please read the following terms carefully before confirming your reservation. By making a booking with The Caerwylan Hotel, you are entering into a legally binding contract
Bookings & Payment
A £40 deposit per room is required at the time of booking to secure your reservation.
For online bookings, payment details are entered securely through our booking system. Telephone bookings may require payment card details to be taken securely over the telephone.
The remaining balance is payable on departure unless otherwise stated within the booking conditions below.
We accept Visa, Mastercard, Maestro and cash.
The hotel reserves the right to pre-authorise a payment card for a minimum of £50, or, where appropriate, request a cash security deposit on arrival. Any pre-authorisation will be released following departure, subject to no outstanding charges or damages.
All reservations are non-transferable.
Secure Online Bookings & Payments
Online accommodation reservations are managed using FreeOnline, our Property Management and Booking System.
Restaurant reservations, food and beverage charges, and payment records are managed through Tabology EPOS.
Online card payments are processed securely using Dojo.
When making a reservation through our website, your payment card details are securely stored within the FreeOnline secure Card Vault. This enables us to process authorised deposits, cancellation charges (where applicable), outstanding balances and any agreed charges in accordance with these Terms & Conditions.
Card information is stored using secure, PCI DSS compliant systems. The Caerwylan Hotel does not have access to or store your full debit or credit card details.
Cancellation & Amendment Policy
This policy applies to bookings made directly with The Caerwylan Hotel.
Arrival is defined as 3:00pm on the first day of your stay.
Bookings made through 3rd party websites are subject to their own terms. Please check the booking for details on the cancellation policy.
Cancellations or amendments must be made by telephone at least 72 hours prior to arrival.
Cancellations made within 72 hours of arrival will be charged 100% of the total accommodation cost.
Cancellations made within 7 days of arrival will result in the loss of the deposit paid, or £40 per night if a deposit was not taken.
Cancellations made 7 days or more before arrival will receive a full refund of the deposit.
For bookings made within 72 hours of arrival, full payment may be required on arrival.
Refunds
Where a refund is due under these Terms & Conditions, it will normally be returned to the original payment method.
Refunds are usually processed within 5–10 working days, although this may vary depending on your bank or card provider.
Refunds will only be issued in accordance with the cancellation terms applicable to the booking.
Non-Refundable Bookings (Online Travel Agents)
Non-refundable bookings made through Online Travel Agents (OTAs), including but not limited to Booking.com, Expedia and similar providers, are charged in full at the time of booking and cannot be cancelled or amended unless permitted by the terms of the provider.
In the event of cancellation or non-arrival, 100% of the booking value will be retained.
These bookings remain subject to the terms and conditions of the booking provider used.
Group Booking Terms
A group booking is defined as three or more rooms, with a maximum group size of 12 guests.
To confirm a group booking we require:
- Full contact details for the booking organiser
- Card details to be securely held on file
- A 10% deposit of the total accommodation cost
Once the booking has been confirmed we will issue written confirmation together with these Terms & Conditions. Continued confirmation of the booking constitutes acceptance of these Terms.
The booking organiser accepts responsibility for the conduct of all members of the party and for any damage or loss caused during the stay.
Group Payment Schedule
At the time of booking – 10% deposit
45 days prior to arrival (or immediately if booking within 45 days) – Full balance payable
Failure to meet the payment schedule may result in cancellation of the booking.
Group Cancellation Policy
More than 45 days prior to arrival – Deposit forfeited.
Within 45 days of arrival – No refund will be given and the full accommodation cost will be charged.
We strongly recommend that group organisers obtain suitable travel insurance.
Rates & Offers
Room rates are subject to availability and vary depending on room type, season and demand.
Different room categories are priced according to their size, facilities and location within the hotel.
The best available rates are normally available when booking directly with us.
Special offers and promotional rates will be displayed on our website where applicable and may also be sent to guests who have opted into marketing communications.
Promotional rates may not be available to travel agents, tour operators or group bookings unless specifically stated.
The Caerwylan Hotel reserves the right to amend prices, promotions and availability without prior notice.
All room rates are confirmed once the required deposit has been received.
Restaurant Reservations
Restaurant bookings are subject to availability.
For larger parties we may require deposits, menu pre-orders or both.
Failure to attend a restaurant reservation without prior notice may result in future reservations requiring a deposit.
We reserve the right to refuse or cancel restaurant bookings where false or misleading information has been supplied.
Check-in Requirements
Upon arrival guests may be asked to:
- Present their booking confirmation.
- Present the payment card used to make the reservation.
- Provide valid photographic identification.
Guests booking through third-party providers may be required to provide an alternative payment card to cover incidental charges during their stay.
Guests are responsible for ensuring their contact details remain accurate throughout the booking process.
Accessibility
The Caerwylan Hotel is a historic Victorian building.
Although a lift serves each floor, all bedrooms require steps to access and we currently do not have fully accessible bedrooms.
Guests with mobility requirements are encouraged to contact us before booking so we can advise whether our facilities are suitable.
Where reasonably practicable we are happy to assist guests throughout their stay.
Children & Pets
The minimum age for children staying at The Caerwylan Hotel is 12 years.
Registered assistance dogs are welcome.
No other pets are permitted within the hotel.
Behaviour, Damage & Smoking
The hotel operates a strict non-smoking and non-vaping policy throughout all internal areas.
Smoking or vaping inside the hotel will incur a minimum cleaning charge of £100.
Guests are responsible for any damage or excessive disturbance caused during their stay.
The hotel reserves the right to recover the reasonable cost of repairs, replacement or specialist cleaning where required.
Data Protection
Personal information collected during the booking process is processed in accordance with our Privacy Policy.
Your information may be securely shared between our booking system (FreeOnline), our EPOS and restaurant management system (Tabology) and our secure payment provider (Dojo) where necessary to administer your booking, process payments and manage your stay.
Payment card information supplied during the booking process is securely stored within the FreeOnline Card Vault and processed using PCI DSS compliant systems. The Caerwylan Hotel does not store or have access to your complete debit or credit card details.
Liability
Except in cases of death or personal injury caused by our negligence, fraudulent misrepresentation, or where liability cannot legally be excluded, our total liability is limited to the value of your booking.
We shall not be liable for indirect, consequential or special losses.
Guests remain responsible for any loss or damage caused by themselves or members of their party.
We reserve the right to cancel or amend reservations where fraudulent, abusive or inappropriate behaviour is suspected or where a booking has resulted from an obvious pricing or administrative error.
Force Majeure
The hotel shall not be liable for any failure or delay in providing services where such failure results from circumstances beyond our reasonable control.
These may include but are not limited to:
- Severe weather
- Flooding
- Fire
- Pandemic or public health emergency
- Industrial action
- Utility failure
- Telecommunications or IT failure
- Government restrictions
- Civil unrest
- Acts of terrorism
- Any other event beyond our reasonable control
Where possible we will make every reasonable effort to minimise disruption and resume normal service.
Intellectual Property
Unless otherwise stated, all photographs, branding, logos, menus, written content and other material appearing on this website remain the property of The Caerwylan Hotel.
No material may be copied, reproduced or distributed without prior written permission.
Governing Law
These Terms & Conditions are governed by the laws of England and Wales.
Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
